Built solution · operating architecture · Online pharmacy operations

From an online request to pharmacy fulfilment.

An online pharmacy operating model connecting request intake, pharmacist review, dispensing, packing, dispatch and exception handling.

Project in brief

Who it serves

Online pharmacy teams managing customer requests from initial service discovery through pharmacist review, dispensing, packing and delivery handoff.

Workflow and systems architecture

Scope

A pharmacy operating journey that connects public service and treatment discovery, online requests, professional review, order preparation and delivery updates, with clear routes for missing information and exceptions.

The problem

An online pharmacy cannot treat checkout as the end of the customer journey. A request must be checked, reviewed by an authorised professional where required, prepared for fulfilment and tracked through dispatch. If information is missing or an operational step fails, the work needs an owner and a route to resolution.

The solution

QuickMeds is designed around the work that continues after someone finds a pharmacy service or submits an online request. The public pharmacy and treatment discovery screens lead into an online shop; the operating workflow then gives each request a visible status, a responsible team and a route to the next review. Pharmacy professionals retain decisions that require their judgement. Approved work can move to preparation and dispatch, while incomplete requests, delayed handoffs or unavailable connection data return to a person for resolution. Pharmacy, device and delivery integrations must be configured and validated for each operation.

What we built

Service discovery and request

Help customers find a pharmacy service, understand the information requested and submit an online enquiry or order.

Request completeness

Show the details supplied and flag missing information for follow-up before the request advances.

Pharmacist review

Present the request and available context to an authorised pharmacy professional; the workflow does not make clinical decisions.

Preparation and fulfilment

Move approved work to the responsible pharmacy team for dispensing, packing and the configured fulfilment process.

Dispatch, exceptions and record

Record available status updates, assign delayed or incomplete work and retain the handoff history for operational review.

How it works

  1. Discover and submit

The customer uses the public pharmacy or treatment pages and submits a request through the online shop.

  2. Check completeness and route

The workflow carries the submitted details forward and gives missing information or exceptions a clear follow-up owner.

  3. Professional review

An authorised pharmacist reviews the request and decides the appropriate next step.

  4. Prepare the approved work

The responsible pharmacy team handles dispensing and packing through its configured operating process.

  5. Track the handoff

Available dispatch updates and unresolved exceptions are recorded for the team to follow up.

What this supports

Clear responsibility at each handoff

Show which team or professional owns intake, review, dispensing, packing and dispatch.

Context that travels with the request

Carry the relevant information from customer submission into the next operational step.

Exceptions with an owner

Route incomplete or delayed work for review instead of leaving it between systems.

Workflow support around pharmacist review

Information and routing support

Assistance can organise submitted details, summarise available context and surface missing information or exceptions for the responsible team. Each workflow and permission needs to be agreed and validated for the pharmacy.

Human decision and escalation

A pharmacist retains clinical judgement and dispensing responsibility. The system can route a request for review or follow-up; it does not diagnose, approve treatment or authorise dispensing.

Pharmacy and clinical responsibility

An authorised pharmacist remains responsible for clinical and dispensing decisions. The pharmacy owns its operating procedures and customer follow-up. Pharmacy-system, device and delivery connections depend on the providers and configuration available to that operation; each must be implemented and validated before use.

Why this matters

The customer-facing screens are only the start. QuickMeds connects service discovery and online requests to professional review, pharmacy fulfilment and visible follow-up when a handoff needs attention.
